Recipients of emails containing TASKE reports complain that the columns in the reports have uneven column widths or that the text is wrapping, making the report unreadable.
These formatting issues lie in the default settings of the recipient’s email application. If the email application is set to display plain text
emails with a proportional font or the font size is too large, the report will display uneven column widths or wrapped lines of text.
Emails containing TASKE reports sent in plain text format must be displayed in a fixed-pitch, or monospace, font to display the columns of the reports properly. Additionally, many of the reports contain several columns. If the size of the font displayed in the report is too large, the lines of text will not fit in the email window. This causes the email application to wrap the lines of text in the reports.
To fix formatting issues with TASKE reports in emails, the email recipient must perform one or both of the following:
- change the default font for plain text emails to a fixed-pitch font
- decrease the font size for plain text emails
Changing the Default Font for Plain Text Emails
If the report is displaying uneven column widths, the recipient’s email application is using a proportional font to display plain text emails. The default font for displaying plain text emails must be changed to a fixed-pitch font. This process varies from one email application to another. Consult the documentation for the email application to determine the proper procedures.
A proportional font uses varying widths for each character in its font set. This makes it very difficult to properly display tables in plain text emails because each line of the table contains different character combinations.
A fixed-pitch, or monospace, font uses a fixed width for each character in its font set, allowing tables in plain text emails to display as intended.
Some common examples of fixed-pitch fonts are:
- Courier New
- Letter Gothic
- Lucida Console
Decreasing the Font Size for Plain Text Emails
If the lines of text in the report are wrapping, even after maximizing the email window size, the recipient’s email application is using a font that is too large to display all columns of the report on a single line. Decrease the size of the default font for plain text emails. This process varies from one email application to another. Consult the documentation for the email application to determine the proper procedures.
